We can assist with tender management, tender preparation and submission. If successful with the tender, we can assist with all financial aspects of your project by managing the payment claims, variation price establishment and assistance with final accounts.

A bit more on tendering…. we understand the importance of tendering or quoting for future work is one of the core functions of every Builder’s business. But it takes time and soaks up important resources which could be better directed towards your current projects. We can help ease the workload by handling your tender procurement, managing the entire tender process including trade scoping, tender invitations and sub-contractor liaison. However, we do appreciate each business functions differently, so we can also just focus on selected aspects of the tender process.


We offer many specific tendering services including:


  • Document Review  – we review of all tender documentation.

  • Measurement   (take off quantities) – we undertake a detailed ‘take off’ of materials associated with the Builder’s works trades.

  • Pricing  – we build up and apply material and labour rates to the quantities taken off.

  • Trade Summary  – we can prepare a trade summary including all trade pricing required for the tender. 

  • Liaise with Subcontractors  – we can work with you to utilise your supply chain (if requested) to collate all required trade pricing. We can assist with review of quotations received to ensure the required scope coverage and compliant pricing is received. This process includes review and ‘de-tagging’ subcontractor quotations (procured by yourself or Focus depending on your requirements) and enter these into the trade summary (in our Estimating Software).

  • Preliminary and General – work with you to establish project specific preliminaries and general requirements.

  • Final Review – we recommend a collaborative approach is undertaken between our Estimator's and our Builder clients. We ensure that close collaboration and communication is undertake throughout culminating is a final review meeting to discuss the compiled tender submission, labour hours involved with the Builder’s work, the subcontractor’s proposed, tags and clarifications.

  • Prepare Tender Submission – we can assist with preparation of a tender letter for submission of your tender.

Our service is collaborative and interactive. We encourage regular meetings during this process to ensure you are completely satisfied with the outcome at the conclusion of the tender process.


Winning the project is one thing. We can also assist with Contract Administration during the contract, including:


  • Setting up Subcontracts - we can assist by facilitating pre-let meetings and preparing Subcontracts between your entity and the Subcontractor.

  • Budget Monitoring -  we recommend setting up and monitoring budgets against the accepted tender sums for Builder’s works. We can assist with establishing specific budgets and work closely with your project team to establish a ‘coding’ system that works for your business and maintains relevant data management to ‘track’ how things are progressing on site against budgets ascertained.

  • General Documentation management- we can issue all project documentation (including budgets against each trade, subcontractor quotes, correspondence re negotiations etc) in a file that the Site Manager can easily reference.

  • Payment Claims – we can assist by preparing monthly claims.

  • Monitor progress – we can monitor progress monthly, or as the project requires – and assist with the payment claim to your client.

  • Subcontractor Claims – we can manage sub-contractor claims for inclusion in your payment claim.

  • Variations – we ensure variations are accounted for within payment claims where applicable.

  • Variation Management – we assist with variation management and maintain a variation register.

  • Variation Pricing – we can price all variations – including liaising with and managing subcontractor variations to the head contract.

  • Communication – we can liaise with the Client / Client Rep on your behalf and ensure any questions are addressed to close out / approve variations issued.

  • Forecasting – provide forecast variation costs on the variation register to keep you abreast of the forecast final account.

  • Final Accounts – assist close out the Contract with your client and close out sub-contracts.
